01What this covers

Every number, in its place.

Five areas of financial administration, all done by me, inside your own Xero and payroll. Here's what each one includes.

  2. MoE funding claimsPourato (RS7) claims and attestation for ECE.
  3. Stats NZ surveysAnnual survey returns completed.

Start with one area, or hand over all five. Nothing is farmed out to a stranger, and nothing is left half-done.

02What it looks like in your organisation

Books that are always one step behind.

You know the numbers matter. But reconciling the bank, paying the bills, running payroll and chasing who owes what all take time the working day doesn't have - so they get done in bursts, whenever something forces the issue.

A GST return due next week. A committee asking for the treasurer's report. An accountant waiting on year-end. Each one becomes a catch-up, and every decision in between is made on a best guess.

What I do

The day-to-day books, kept current.

Bookkeeping, payroll, invoicing, reporting, budgets and returns - the ongoing financial administration that keeps your records accurate all year, inside your own systems.

What your accountant does

The specialist work, done faster.

Tax advice, annual financial statements and income tax returns. With clean, current books, their time goes on the advice you pay them for - not on tidying up.

Answers and finished work, not twenty questions.

06In practice

What handing over the books actually looks like.

The books, running without you.

The bank reconciled in Xero. Bills entered and paid on time, invoices sent and overdue accounts followed up. Pays processed and payday filing lodged. GST prepared on schedule, a clear report ready before your meeting - and anything that needs your decision flagged early.

07Common questions

Financial admin, answered.

Straight answers to what most people want to know before we talk.

Are you an accountant?

No - and that's deliberate. I do the financial administration: the bookkeeping, payroll, invoicing, reporting and returns that keep your books current all year. Your accountant does the specialist work - tax advice, annual financial statements and income tax returns. I work alongside them, so their time goes on advice rather than tidying up.

Do you work in our Xero, or your own?

Always yours. I work inside your own Xero, payroll and banking with the access you choose to give me, so the records stay yours and your accountant sees the same file I do. Payments are prepared for your approval unless you decide otherwise.

Our Xero is months behind. Can you catch it up?

Yes - that's what hourly support is for. I reconcile back to where the books are right, clear the backlog in order of priority, and flag anything that needs your decision or your accountant's input. Once you're current, we can decide whether a monthly retainer makes sense.

Do you handle payroll and payday filing?

Yes. I run pays in iPayroll or your existing payroll system, keep leave and timesheets current, and lodge payday filing with Inland Revenue every cycle - including pay parity tracking for early learning centres.

Can you support our treasurer, committee or board?

Yes. I keep the books, prepare financial reports for each meeting, monitor the budget and look after audit or review liaison - so whoever holds the treasurer role isn't left doing it all. And if you don't have a treasurer or a secretary, I can step into the role myself. It's work I already do for societies and statutory boards.
