New starter + that overdue order

YouMon 9:12am

Hi Kirsten - new starter on Monday. Can you get her employment agreement out, set her up in payroll, and chase the supplier on that overdue order?

Kirsten WinterWed 2:40pm

All done :) Agreement signed and filed, she's set up in payroll for Monday, and the supplier has confirmed delivery on Thursday.

Consider it done

01What this covers

Everything that keeps the place running.

Five areas of day-to-day work, all done by me, inside your own systems. Here's what each one includes.

People & payroll

Your team paid right, and their paperwork in order.

Pays accurate and on time, and new starters set up properly from day one.

  • Employment agreementsPrepared, issued and filed.
  • Payroll processingIn iPayroll or your system, with payday filing.
  • Leave managementBalances and requests kept current.
  • Staff onboardingPaperwork done before day one.
  • HR recordsAccurate, complete and easy to find.
  • Contractor administrationAgreements, invoices and records.

Diary, inbox & correspondence

Your inbox under control, and your diary sorted.

You show up to what matters - everything around it is handled.

  • Email triageSorted, answered or flagged for you.
  • Appointment schedulingBooked in one email, not three.
  • Professional correspondenceDrafted, sent and followed up.
  • Meeting coordinationTimes, rooms, links and reminders.
  • Client communicationTimely, courteous and on-brand.
  • Follow-upsLoose ends closed off, not forgotten.

Suppliers & purchasing

Orders on track, and suppliers looked after.

You stop being chased by suppliers - I do the chasing instead.

  • Purchase ordersRaised, sent and tracked.
  • Supplier relationshipsA reliable point of contact.
  • Quote managementRequested, compared and summarised.
  • Invoice coordinationMatched and passed on for payment.
  • Contractor oversightBookings, access and sign-off.
  • Order follow-upLate deliveries chased early.

Day-to-day operations

The week runs smoothly, and nothing sits waiting on you.

You lead the organisation, instead of firefighting it.

  • Task managementPriorities tracked and actioned.
  • Document organisationShared drives that make sense.
  • Staff administrationThe paperwork behind your team.
  • Internal communicationsUpdates and notices sent out.
  • General admin supportThe jobs that fit nowhere else.
  • Operational overflowExtra hands when things pile up.

Contracts, documents & records

The right document, in the right place, every time.

Anything you need is found in seconds - and renewals never catch you out.

  • Contract administrationTerms, dates and renewals tracked.
  • Document filingNamed and stored consistently.
  • Records retentionKept for as long as they need to be.
  • NDA coordinationIssued, signed and filed.
  • Template maintenanceYour standard documents kept current.
  • Version controlNo more "final-final-v3".

Start with one area, or hand over all five. Nothing is farmed out to a stranger, and nothing is left half-done.

02What it looks like in your organisation

The work that falls to you by default.

You're running the work that matters. But between that and keeping the lights on sits a long list of operational tasks that land on you - not because they're your job, but because they're nobody else's.

The email waiting on a reply. The onboarding paperwork that hasn't been done. The scheduling that takes three emails when it should take one. Each one pulls you out of your day, and your focus goes with it.

Right now

  • Your inbox sets the agenda for your day.
  • Payroll and leave get squeezed in between meetings.
  • Suppliers chase you, instead of the other way round.
  • Contracts and records are filed "somewhere".

Once it's handed off

  • Your inbox is triaged and answered before you open it.
  • Pays run accurately every cycle, without your input.
  • Orders, quotes and invoices tracked and followed up.
  • Every document where anyone can find it.

03How it works

You hand it over. That's your part done.

No instruction manuals, no status meetings, no one to manage. Just a clear hand-off and finished work coming back.

  1. You

    Hand it over

Tell me the outcome you need and share the context. I ask a few targeted questions up front, then take it from there.

  2. Me

    I get on with it

I work independently inside your own systems. No chasing, no status requests, and no twenty questions for every task.

  3. Done

    It comes back finished

Completed work, delivered reliably and on time. Anything that needs your decision is flagged early - never at the last minute.

Answers and finished work, not twenty questions.

06In practice

What handing it off actually looks like.

A typical month, handed off

The day-to-day, running without you.

Pays processed and payday filing lodged. New starters set up before their first day. The inbox triaged, meetings booked and suppliers followed up. Contracts, records and templates kept where anyone can find them - and anything that needs your decision flagged early.

07Common questions

Business admin, answered.

Straight answers to what most people want to know before we talk.

Do you handle payroll and payday filing?

Yes. I run pays in iPayroll or your existing payroll system, keep leave records up to date, and make sure payday filing with Inland Revenue is lodged on time, every cycle.

Can you look after employment agreements and HR paperwork?

Yes. I prepare and administer employment agreements, onboarding paperwork, staff records and leave, so everything is accurate and current. If a tricky employment issue comes up, I'll flag it early so you can get the right specialist advice.

Will you work alongside our accountant, bookkeeper or HR adviser?

Absolutely. I work alongside the advisers you already have - handling the day-to-day admin so their time goes on the specialist work you pay them for. Everything stays in your own systems, so hand-offs between us are simple.

We're behind. Can you catch up a backlog?

Yes - that's exactly what hourly support is for. I work through it in order of priority, keep you across anything that needs your decision, and once you're up to date we can decide whether an ongoing retainer makes sense.

Can you cover several areas in one engagement?

Yes. Payroll, HR, suppliers, inbox and contracts can all sit in one engagement, with one person across all of it. Most people start with one or two areas and add more over time - there's no minimum scope.
