05How this works

I work alongside the chair, treasurer and board members to make sure the back end runs properly - not by telling them what to do, but by doing it. The governance cycle, the accounts, the annual reporting, the minutes.
When something isn't working, we identify it together and fix it properly - continuity for the board, not dependence on one long-serving member.

I've been Secretary and Treasurer for a Bay of Plenty domain board since 2011 - statutory management, board minutes, financial reporting and the audit behind them. So I know the board rhythm from the inside: the meetings, the reporting, the audit and the obligations that come with holding something on behalf of the community.
I've run my own businesses since 1998, and I've done this work through Compleation Limited since 2008. Nothing is farmed out to a stranger, and nothing is left half-done. You deal with me directly, every time - and there's no learning curve at the board's expense.

This is bespoke governance and admin work, so pricing is scoped to your board - no rigid packages, no paying for hours you won't use. Anything outside an agreed retainer is quoted and approved first. All prices in NZD plus GST.

Straight answers to what chairs, treasurers and board members want to know before we talk.
A board free to govern, with every obligation met in the background. I take on the full picture - board packs, attending meetings and writing the minutes, registers, Xero and financial reporting, year-end and the audit, annual reporting and filings, and the correspondence in between.
Board-specific. I've been Secretary and Treasurer for the Bledisloe Domain Park Board since 2011 - statutory management, minutes, financial reporting and the audit. I understand how a statutory board operates, who it answers to, and what an auditor expects to see. This isn't general admin with board terminology bolted on.
Minutes you can rely on, and actions that actually happen. I attend in person across the Bay of Plenty or by Zoom, take my own notes and write the minutes myself - never from someone else's notes - then track every action and follow it up before the next meeting.
An audit that runs as a formality. Because the books are reconciled and the records kept current all year, year-end is about pulling the file together - not reconstructing it. I prepare the schedules and supporting evidence, work with your accountant on the financial statements, and handle the auditor's queries so the board isn't chasing paperwork.
Yes - and it usually works well. Most boards already have an accountant for the year-end financials and an auditor they report to. I handle everything in between - the secretariat work, the day-to-day financial administration and the compliance tracking - and work with whoever you already have in place rather than cutting across them.
Less than it takes now. Most of the work happens without the board needing to be involved. Where I need you - decisions, approvals, signatures - I'll come to you with what's needed, clearly summarised. For most boards that means a regular check-in with the chair and the board meeting itself, not constant back-and-forth.
Full ownership and control, always with the board. Everything stays in your own Xero, Microsoft 365 or Google Drive. I work inside your systems and nothing is held on a personal drive - so the board's history is safe, whoever sits around the table.
Yes - and it's more common than most boards realise. Unconfirmed minutes, out-of-date registers, records that haven't been kept up - I work through the backlog systematically, bring everything up to date and put systems in place so it doesn't happen again. Hourly work suits a catch-up; many boards then move to a retainer to keep it that way.
